Deleting or Archiving old HSP Claims

Archiving HSP Claims is a tool for housekeeping your data. It speeds up searches for Claims by allowing users to archive selected HSP Claims so they no longer appear in selection windows. Archiving means that these HSP Claims will no longer be available in the ENTER HSP CLAIM option.  

When a claim is archived, it removes the dollar values from the Product Sales Report.  

Archiving claims can be performed to remove claims saved without details, are very old or that were incorrect or rejected. 

Claims can’t be archived if:  

  • They have line items (products) that have not gone through Daily Close 

  • They have payments that have not gone through DC  

  • They have have funding amounts with receivables  

  • They have taxes that have not gone through DC  

Go to such claims and remove the details manually and zero out any payments. Archived claims can be viewed within ENTER HSP CLAIMS as normal. You just need the claim number as it will not show in the search list any longer. 

To archive a claim go to SALES, REPAIRS AND ORDERS > HOUSEKEEPING > ARCHIVE HSP CLAIM. Choose from the filters below to only archive claims with specific variables. 


ALL CLAIMS - Selecting All Claims will disallow users from choosing one specific claim. 

CLAIM - If ALL CLAIMS is unchecked, you can enter a specific claim number (or use the search tool to find and select one specific claim to archive). 

FROM CLAIM DATE - Choose a starting date for claims to archive. 

TO CLAIM DATE - Choose an ending date for claims to archive. 

CLAIM TYPE - Select what type of claim to archive. 

CLAIM CONTENT - Select from either EMPTY (No items on claim), $0.00 (Claim nets out to $0.00) or All (All Claims). 

$0.00 CLAIMS ONLY - Select this option to archive $0.00 claims. 

DELETE EMPTY CLAIMS – if you filter on EMPTY, select this option to delete empty claims 

IGNORE CLAIMS WITH AID - Select this option if you do not want to archive any claims that have a hearing aid. 

ALL LOCATIONS - When checked, all locations' claims will be selected. 

LOCATION - If ALL LOCATIONS has not been checked, individual locations can be indicated here. 

The following list will display all claims that fall within the criteria selected on the previous screen. 



The Claim details, Date, Patient Number, Patient Name, the location and whether or not the claim is a manual claim displays.  

To see more details for each claim you can press the Ellipsis box to the right of the Claim Number. 

ARCHIVE - defaults to checked, but can be unchecked. 

PRINT - To print this list, click the PRINT Icon.  

When ready to archive selected claims, click CONTINUE. At the Archive HSP Claims prompt answer appropriately. 

Unarchiving an archived Claim 

In the Application User there is a security setting “Allow Document Archive Restoration”. This then adds a button to archived claims called “Un--Archive”. 

To unarchive a claim, open the HSP Claim from Sales, Repairs & Orders. You will see a warning, and upon OK, the claim will open:
